This notice explains how BitcoinRun handles personal data for Edition 01, future editions, teams, the shop, support, the BitcoinRun Assistant and related services. BitcoinRun is open globally, but it is operated from the United Arab Emirates. Mandatory rights under applicable local law are not reduced by this notice.
1. Information we collect
Depending on how you use BitcoinRun, we may process: identity and registration data (name, email, country, city and mobile/WhatsApp); team/company information; confirmation and access records; activity evidence and the date/distance you submit; Founding Finisher and certificate records; invitation/referral/creator/UTM attribution; support requests; optional marketing choices; shop/order/fulfilment information; and limited security/technical logs.
Activity proof may incidentally contain fitness, location or other personal information. Submit only what is needed to show the activity date and distance. Crop or hide route, map, profile, health or other information that BitcoinRun does not need. We do not ask you to disclose a medical condition.
2. Why we use personal data
We use personal data to provide the BitcoinRun service you request; register and authenticate participants; operate editions and teams; receive and review proof; issue recognition; process orders and customer service; prevent abuse and protect security; maintain required business records; improve the service; and communicate with you.
Depending on the processing and applicable law, the basis may be: performing the service or transaction you requested; your consent (for example optional marketing, non-essential analytics or public Founding Record inclusion); our legitimate operational and security interests where permitted; or compliance with legal obligations.
3. Proof review and automated assistance
BitcoinRun may use automated tools to extract information from submitted evidence and flag clear or ambiguous cases. A participant can ask for human review of a proof outcome by contacting us. BitcoinRun does not use automated proof tools to make decisions about credit, employment, insurance, investment or other financial/legal eligibility.
4. Founding Finisher pages and Founding Record
Accepted finishers may receive signed links to a personal certificate, movement card or achievement page. These links may be shareable by the participant and are marked not to be indexed by search engines, but anyone who receives a valid link may be able to view the information displayed on it.
Live Founding Wall. If you become a Founding Finisher, the live Founding Wall is designed to recognise the achievement using your Founding Finisher number and name. Full name is the default public display. At registration you may choose the simpler public display of first name only. This Wall preference does not change the name printed on your private certificate.
Public Founding Record choice. BitcoinRun will not publish a participant's name in the permanent/public Edition 01 Founding Record merely because the person registered or finished. Before public publication, BitcoinRun will request a separate affirmative choice for the public fields then proposed (currently expected to be Founding Finisher number, first name and country). The choice will explain that the canonical record is intended to be published publicly on GitHub after the edition closes, verification is complete and a correction period has ended.
Before the record is frozen, a participant who opted in may correct the proposed public fields or withdraw the public-record choice. After public publication, BitcoinRun will honour applicable correction, objection or deletion rights in the records it controls where legally required, but copies, forks, screenshots or archives made by third parties may not be technically retrievable.
5. Teams, companies, sponsors and partners
When you join a company Movement Pack, your name and participation stage are shown to the authorised company organiser after you confirm your email. The company registration and invitation-confirmation pages explain this. Company stages cover readiness, proof submission and Founding Finisher recognition. Contact details and proof files are not displayed in the Company Hub. You can belong to a Founding Team and one company Movement Pack at the same time; company and team totals may therefore overlap while each participant has one BitcoinRun registration and one earned recognition.
Founding Team organisers may receive aggregate team statistics such as registrations, confirmed participants, proof submitters, accepted finishers and verified kilometres. Participant contact details and proof files are not shown in team dashboards or public team-progress views.
If you join through a paid company Movement Pack route, the authorised company organiser may also see the full name, Founding Finisher number and certificate link of company-route participants who become Founding Finishers so the company can recognise and distribute earned certificates. The organiser does not receive participant email, phone number or uploaded proof files through the Company Hub. Company-level aggregate participation and movement totals may be used for the company dashboard, Company Progress Report and any company Founding Wall recognition that BitcoinRun publishes.
Sponsors and partners may receive aggregated/anonymised reporting and recognition. BitcoinRun does not automatically give participant contact details to sponsors or partners for their own direct marketing. A separate permission will be requested where required before such contact details are shared for independent marketing.
6. Shop, payments and fulfilment
BitcoinRun commerce may use Shopify and payment service providers. Order data may include products, contact information, delivery address, discount/creator attribution, payment status and fulfilment status. Payment-card details are handled by the applicable payment provider and are not intended to be stored in BitcoinRun challenge files. Delivery information may be provided to manufacturers, warehouses, fulfilment providers or couriers only as necessary to make, pack, deliver, support or reconcile the order.
7. BitcoinRun Assistant and support
When you use the BitcoinRun Assistant, BitcoinRun may record the question, response, language, page, category, feedback and limited technical/service information needed to operate and improve approved answers. We aim to redact obvious email addresses, phone numbers and BitcoinRun identifiers from assistant logs. Do not enter passwords, card details, proof files or delivery addresses into the assistant. Where an AI service provider is used, the minimum information needed for the assistant request may be processed by that provider.
8. Analytics, cookies and attribution
Essential storage used for security, sign-in/access, cart/checkout and requested service features may operate without optional measurement consent where permitted. BitcoinRun uses region-aware consent settings for analytics and conversion measurement. In regions where prior consent is required, optional measurement defaults to off until you allow it. In other regions, optional measurement may be enabled by default where permitted, with an easy opt-out through the site preference control. Google advertising storage, ad-user-data storage and ad-personalisation storage remain disabled by BitcoinRun.
BitcoinRun may use OpenAI Ads, Meta Pixel and LinkedIn Ads measurement to understand whether advertising leads to actions such as a confirmed registration, completed purchase, company enquiry or other relevant website action. Limited attribution information such as source/creator/team/referral/discount codes and UTM parameters may also be stored to understand how people reached BitcoinRun and administer a requested referral or commercial arrangement. 9. Marketing and operational messages
Marketing is separate from participation. BitcoinRun applies the email-marketing rules that apply to the participant’s country. Where prior opt-in is legally required, future marketing is sent only after a positive choice. Where prior opt-in is not required, BitcoinRun may send relevant future BitcoinRun editions, news, products and offers unless the participant opts out. Every marketing email includes a way to unsubscribe, and opting out does not affect participation or earned recognition.
Even without optional marketing permission, BitcoinRun may send operational messages necessary to administer registration, access, proof, completion, security, support, orders, fulfilment and material legal/service updates.
10. Service providers and international transfers
We may use providers for hosting, email, communications, analytics, proof assistance, AI support, storage, security, payments, Shopify commerce, manufacturing, fulfilment and delivery. These providers may process data in countries different from your own. BitcoinRun seeks to use contractual, organisational and technical safeguards appropriate to the transfer and processing, and limits disclosure to what is reasonably necessary for the service.
11. Retention
We retain personal data only for as long as reasonably needed for the relevant purpose and applicable legal, accounting, security or dispute requirements. Raw proof files are intended to be deleted or anonymised after the edition's verification/correction/dispute period unless a longer period is reasonably required for an active issue. Order/accounting records may be retained for the period required by applicable business and tax law. Marketing records are retained until consent is withdrawn or the record is no longer needed. Access/security logs and expired tokens are retained only as long as operationally necessary.
12. Your choices and rights
Subject to applicable law, you may have rights to obtain information about processing; access your personal data; correct inaccurate data; request deletion; restrict or object to processing; withdraw consent; receive/transfer data in a structured format where applicable; and request review of certain automated processing. Withdrawing consent does not make earlier lawful processing unlawful.
Send privacy requests to contact@bitcoinrun.xyz. We may need to verify your identity before acting on a request. If you believe a privacy issue has not been resolved, you may also have the right to complain to the competent data-protection authority applicable to the processing.
13. Children
BitcoinRun is not designed to collect personal data from young children without appropriate parent/guardian involvement. A person who is not legally able to consent or purchase in their jurisdiction should participate or buy only with the permission and involvement required by applicable law.
14. Security and incidents
BitcoinRun uses reasonable access controls, private storage for proof files, signed/expiring access links and other technical and organisational safeguards appropriate to the service. No internet service is risk-free. Where applicable law requires notice of a personal-data breach, BitcoinRun will notify the competent authority and/or affected people as required.
